Kin-etiq.ai's founder, Peter Faist, launched Staffy in 2015 and moved it into healthcare staffing during the COVID pandemic. Staffy is a related company, and Staffy's own team builds its products. The examples below draw on that operating experience, and the Staffy case study describes the company.
Where does AI help a staffing agency?
Credentials
Healthcare staffing runs on documents: licences, registrations, certificates, each with an expiry date. Staffy's credential product, Salus, lets workers upload and update their own documents, tracks expiry dates, sends alerts and checks licences. AI can read a document and pull out the expiry date. Reading a date and deciding someone may work are separate jobs, so keep the second with a person. An unclear reading should go to a person too.
Open shifts
When a shift is still open, a system can list the available workers whose credentials and location fit, and draft the message to them. A person approves who is contacted and confirms the booking.
Shift reminders and confirmations
Reminders by text or call before a shift are simple to automate and easy to measure. Compare confirmations, no-shows and late cancellations before and after.
Bids and tenders
Many staffing contracts are won through requests for proposals. AI can find tenders and draft answers from approved past responses. A person still checks every factual claim, because a drafting assistant can fill gaps with plausible text that is not true. Our page on AI RFP response automation covers what to automate.
Finding clients
A lead engine can watch public sources, such as new facilities, job postings or tenders, and send your team a short list to call. A person decides who to contact.
What did the AI engines recommend?
We asked ChatGPT, Claude and Gemini about "AI for staffing agencies" on 20 October 2026. Most of the options they named were recruiting and staffing software products, plus a few consulting firms.
That supports the order above: try what your current software offers, then build for the gap.
Where should you start?
Pick the task that takes your coordinators the most hours each week. Measure it for two weeks. Then test whether a tool or a small build can do it as well, on your own records, with a person checking the output.
